As I approach the festive period I begin to set my thoughts towards the New Year and wonder how many business leaders are doing likewise. I have a long list of tasks to consider and to put in place in order to get us in a good position for January 3rd. These include: announcing new sales targets, launching new marketing campaigns and motivating our people. Like us, I should think that most companies are looking forward ambitiously towards an upturn in the economy for 2012.

However, our business, to a certain degree, has benefited from the recent economic downturn. As companies and organisations have looked to save costs and streamline business processes, our business comes into its own as that is exactly what our products help businesses to achieve. Once companies have shaved off their biggest cost, and I’m sad to say that in most cases this is people costs – hence redundancies, they then tend to look at their middle layer of costs. For most, not all, this will probably be their print, post and paper bills.

Sending correspondence by post is still the norm for most- so invoices, remittances, statements, quotes and payslips all get printed and posted. Lots of these actually get sent twice as many of these are often "lost in the post" or are simply mislaid. Therefore, these hidden costs can build quickly and significantly. It’s not an area that many businesses tend to investigate as that is regarded as a necessary and ongoing business costs. However switching to electronic invoices, statements, payslips etc. not only has the attraction of saving costs but also gives the sender a full audit trail of what has been received and opened- making follow-up conversations more productive. Sending an electronic invoice costs pennies compared to sending via normal mail services. Plus, the audit trail can help cash flow as the organisation just needs to focus on those that have been queried or left as unopened. Our service is a bit like recorded post for email.
